1-4 Activity: Introduction to Systems Thinking
For this assignment I chose a new system we are working with to help streamline submitting and
gaining feedback on our Corrective Action Reports. Recently, my company has switched to uploading our
reports onto a Corrective Action Sharepoint site. The Sharepoint system is a collaborate system made up
of several parts that work together to serve a purpose. We decided to switch to Sharepoint, from email
submission, to help the operations team and human resources team collaborate more effectively to
approve and process corrective action on a timelier basis. The system allows for each group to leave
comments if there is additional information needed, if the corrective action is not filled out correctly, or
if we can deliver.
The Sharepoint system has many parts to it.
Main Portal – The main portal allows the user to access different pages within Sharepoint
Dashboard - The dashboard on the portal allows the user to view all pending corrective actions.
Comment section – The comment section allows the operations and human resources teams to
effectively communicate with each other to make changes to the corrective action or to deliver it
to the employee.
Upload Section – The upload section allows you to upload the corrective action reports to be
reviewed by human resources. Once a file is uploaded, it is added to the dashboard and users
can then go in an add comments.
These parts all work together effectively to improve the process of getting an associate on a
corrective action. Each part is not able to standalone as each part needs the other to get the job done.
My diagram illustrates that I have 2 feedback loops. If the corrective action does not pass the verify
stage, the agent must return to the previous steps to move forward. There also another feedback loop,
since you can upload multiple documents but to do that you will need to circle back and go the process
again.
