This decentralized method of systems and document management has hampered interoperability between locations, making it difficult to share documents and services efficiently.
Simple Getaways, Inc. legacy administrative and human resources process is another challenge currently affecting the organization. Administrative tasks such as vacation approvals, employee leave, address information, tax forms, etc. are currently handled through a paper forms process and stored in physical file cabinets at each location. When documents need to be provided to the headquarters regarding any employee information or requests, they are generally either faxed or photocopied and sent through postal mail. This can lead to delays in processing certain employee requests and creates complications when dealing with time sensitive documentation.
Actual vs Desired Performance
Current: Sharing of documents between staff at various locations is currently accomplished by emailing the documents between offices, editing the document, and returning the edited version to the original sender or to additional locations. This has historically produced multiple document versions and often resulted in incorrect and outdated information being shared and utilized.

Each remote office must make photocopies of billing and timecard information before sending it to corporate headquarters. This is done to safeguard the information in case it is lost in transit.
To keep waste to a minimum you could email when possible instead of sending paper documents throughout the organisation and post, also you could switch off equipment when finished with to save electric.
Due to several years of growth, Simple Getaways, Inc. (SGI) has expanded from a single California office to twelve offices distributed throughout the western United States with approximately 270 employees. Methods of communication and data storage that are currently being used were adequate for a single office but are no longer sufficient to meet the needs of Simple Getaways, Inc. This proposal will address the requirements for file storage and management, collaborative communication, information sharing within and between offices and the automation of administrative workflow.
EDM allows for the management of diverse types of document storage in an organization using collaboration software and storage ("IBM FileNet", n.d.). Each line of business has diverse business processes and procedures for storing and retrieving their internal documents. Each document that is loaded in the EDM system, IBM FileNet, is stored with particular metadata and retention record information. For many years, it has been a dream of many people that there will be way to integrate various communication platforms in a single system where files can be shared. Many long for that day where people can have a way to interactively share documents saved in their computer or in the computers of others efficiently. However with the advent of gadgets such as tablets, smartphones and other similar devices, this dream is slowly becoming a reality. The emergence of many applications which focuses in increasing productivity in an internet-age society now dominates the market. From basic files sharing possibilities to complete and real time interaction between electronic devices, these kinds of applications are continually improving
Years ago, the final draft of a document went through several stages. The first draft was typed on a type writer, edited for corrections and revisions were made. It took time for the document to be read and reviewed by several persons before all corrections and additions were made. Then, the final copy was re-typed with corrections. Through the use of computers, grammar, spelling, and punctuation can be corrected and changed within the document instantly as the person types. Mailing documents took time as well. Someone had to make a trip to the post office, purchase postage, etc. With the use of virtual meetings, money is saved by eliminating the cost of travel. Participants can be actively involved without leaving their own office or home. When there are problems or urgency, solutions and reactions can occur quickly. There is acceleration of decision making with the use of technology. Communication can occur anywhere at any time.

The elimination of paper from our office processes is complex as it spans a number of business functions. We are mapping our existing processes and their impacts.
The process of completing expense reports and travel arrangements at work consume a lot of time. The current process costs the company a lot of money. Pertinent information is not provided immediately causes a waste of time. The pertinent information includes: cost codes, project codes. Another issue is two to three weeks advance notice of travel and travel preferences is not provided. Flight selections cannot be saved while traveler decides on a flight schedule. Being able to save from 48 to 72 hours would provide ample decision time. Therefore, once the traveler reviews and selects flights, the prices increase and/or the flight(s) are not available. This situation creates a need to find different flights again and again. Completed arrangement changes cause more flight fees. Changes are adding or removing a rental car, switching hotels and so on.
