Brazil - 9:00 AM United Arab Emirates - 4:00 PM Chile - 8:00 AM Does Meeting Repeat? A follow-up meeting shall be scheduled for July. Location: Zoom Meeting (Virtual) – attendees can attend in person if desired. Body: Hello team, the purpose of this team is to introduce each team member, get to know each other better, and discuss communication goals and other team/individual expectations. Meeting Agenda 1. Welcome and introductions. 2. Explain the company management styles and discuss how primary communication will take place. Explain how devices will be necessary and introduce which programs will be used so the team can communicate efficiently. Identify any concerns or potential challenges and verify if any team members have issues or need orientation with Zoom, Microsoft Teams, Microsoft Office, or Outlook. 3. Discuss cultural challenges and diversity. Identify strengths and weaknesses based on cultural considerations and backgrounds. 4. Verify and establish a working schedule on which everyone will be available to work at the same time. Establish holiday policies, time off, and sick time. Discuss which holidays are observed by the team members and if any exclusions are necessary.
5. Establish short-term and long-term goals. How the team plans to achieve these goals. What strategies need to be used? Discuss if the team prefers to work as a group and report to the supervisor/manager or to be managed individually. 6. Establish which member’s individual tasks, introduce, and explain the company’s expectations. Discuss the member’s expectations for the company, which goals they plan to accomplish, which tasks they are comfortable with, and which ones they may need orientation and guidance. 7. Address any questions from team members and managers. Discuss any suggestions, thoughts, and concerns. Email to Manager Hello, Attached to this email, please find a conference call invitation scheduled for June 13 th , 2023 from 8:00 AM to 9:30 AM. This meeting is in regard to our international team. During this meeting, I plan to address several topics such as team communication, management styles, and cultural considerations. First, I would like to address the management style, I believe an authoritative/visionary style would be the most appropriate to manage this team. I want the team to know that we make the final decisions but that they can trust me and other managers to discuss ideas and suggestions. Based on research regarding their cultural aspects, Brazil, Chile, and the United Arab Emirates are cultures that believe in and respect hierarchy, these cultures function better when placed in a hierarchal organization. The American culture believes and gravitates towards equality, but it is able to understand hierarchal structures, (Hofstede Insights, 2023). In addition, the same happens when it comes to uncertainty avoidance, the first three countries believe in laws and rules to function and structure their lives. Americans are more accepting and flexible, they are open to new ideas and freedom of expression Based on this, the authoritative style should be enforced because it would work better for the whole team. I would also consider the consultative management style; I don’t think the team would have the ability to make decisions by themselves, but I would like to consider their thoughts. I think that is very important to build a relationship between and with the team members. Further, I think is very significant to consider all the cultural challenges that we may face with this team. Not only different time zones but mostly communication between them. Language barriers and misunderstandings can happen often if not appropriately addressed. We have members from Brazil, Chile, the United States, and the United Arab Emirates, each one of them has a different fluency level and I want to make sure that they are communicating properly. Also, their cultural habits and beliefs matter and need to be considered. Research shows that Brazil, Chile, and the United Arab Emirates are not high on individualism, these countries tend to work together as a group, (Hofstede Insights, 2023). United States is an individualistic culture; this is a concern for teamwork and should be observed carefully. For example, Brazil and Chile have more similarities. They have pretty much the same beliefs towards religion and holidays being observed. Members from this country could work together well.
I hope to discuss more of the cultural challenges and concerns with the team members during this meeting. Another aspect that I would like to establish during this meeting is the holiday schedule since they all have different beliefs. I think we need to be open and flexible. Based on research, I am anticipating the following: Brazil – Christmas; New Years; Easter; Labor Day (May 1 st ). USA – Christmas; New Years; Easter; Labor Day (September 7); Independence Day; Memorial Day; Thanksgiving. United Arab Emirates – Eid Holidays; New Years; Prophet Mohammed's birthday. Chile – Christmas, New Years, Easter, Labor Day (May 1 st ). I think that observing the major holidays will make sure that the team doesn’t get separated for too many days. I think the company can be open to discussing any exclusions if necessary. I believe that setting rules, authority, and flexibility is going to lead the team to work together, I want the team to be comfortable and able to rely on each other. I think it is important to set monthly goals and annual goals and discuss individual professional expectations that they may have. Based on all this information, I hope to manage the team as a stronger leader that enforces rules, and policies but also is open to any suggestions and diversity. Sincerely, Mariana Gigliotti
