Section 2 – Understand how to handle mail 1. Explain the purpose of correctly receiving, checking and sorting mail and packages (both incoming and outgoing). The word ‘Mail’ did refer to the written communication that passes through the messenger service or the post office. However, ‘mail’ now widely refers to ‘email’, where ‘Post’ refers to the written word on paper put in envelopes. Mail can arrive at the company office in different ways. The bulk of the mail will be delivered by the Post Office, usually in the morning to midday. Nonetheless, mail can also be delivered by hand, fax and of course by e-mail. Every business sends out and receives a large number of letters, notices, circulars, telegrams, memoranda reports, statements, pamphlets, enquiries, etc. The mail centre ensures a continuous interaction between internal staff and external customers/ suppliers. It helps the business to establish and maintain contact with customers, suppliers, and others concerned.
